2. What this policy covers
This policy explains what personal information we collect, how we use and protect it, who we share it with, and the choices and rights you have. It applies to our website, our enquiry and registration forms, our newsletter, our class booking and membership systems, and our phone and social media channels.
3. The information we collect
Depending on how you interact with us, we may collect:
- Contact and identity details — your name, email address, phone/mobile number, and (on registration forms) your postal address and date of birth.
- Enquiry details — anything you tell us in a form, message, email, call, or social media contact.
- Booking, membership and attendance information — the classes and courses you book or attend, your membership type and status.
- Payment information — your payment is processed by our payment providers (see Section 6). We do not store your full card details ourselves.
- Marketing preferences — whether you’ve opted in to our newsletter or to email/SMS updates.
- Website and device information — standard analytics data such as pages viewed, approximate location, device and browser type, and cookie identifiers (see Section 7).
- Information about children — for our Kids and Teens programs, we collect a child’s details from a parent or guardian, who provides consent on the child’s behalf.
We only collect information that is reasonably necessary for our activities.
4. How we collect it
- directly from you — through our website forms, newsletter sign-up, when you book or attend classes, call or message us, or contact us on social media;
- automatically — through cookies and analytics when you use our website;
- from third parties where you’ve engaged with us through them.
If you provide us with someone else’s personal information, please make sure you’re authorised to do so.
5. Why we use your information
- respond to your enquiries and provide the information or service you’ve asked for;
- manage class bookings, courses, memberships, attendance, and billing;
- process payments and keep required records;
- send service messages (e.g. booking confirmations or schedule changes);
- send marketing — newsletters, tips, offers — only where you’ve opted in, and you can unsubscribe at any time;
- improve our website and services;
- keep our gym, members and staff safe; and
- meet our legal and regulatory obligations.
6. Who we share it with
We don’t sell your personal information. We share it only with the service providers we use to run ACSA, and only as needed. These include:
- Spark Membership — memberships, class bookings, attendance, intro offers, CRM, and email/SMS communications.
- Stripe — secure payment processing.
- Google (Analytics / Tag Manager) — website analytics.
- JustCall — handling and recording phone calls and messages.
- Meta (Facebook / Instagram) — where you interact with us on social media.
- Zapier — to connect the systems above.
We may also disclose information where required or authorised by law.
Overseas disclosure: Some providers store and process data outside Australia (for example, in the United States). Where they do, we take reasonable steps to ensure your information is handled consistently with the Australian Privacy Principles.
7. Cookies and analytics
Our website uses cookies and similar technologies, including Google Analytics, to understand how the site is used and to improve it. You can control or delete cookies through your browser settings, and opt out of Google Analytics using Google’s browser add-on. Disabling cookies may affect how the site works.
8. Marketing and your choices
If you’ve opted in, we may send you newsletters and updates by email or SMS. You can opt out any time by clicking unsubscribe in any marketing email, replying STOP to a marketing SMS, or emailing enquiries@acsamelbourne.com.au. You may still receive non-marketing service messages relevant to a service you’re using.
9. Photography, video and social media
Photographs and video are often taken at ACSA — in classes, at events, and around the academy — and we use them to promote ACSA.
By training at, attending, or taking part in activities at ACSA, you agree that we may take photographs and video of you on our premises and at our activities, and that ACSA owns those images and may use and publish them for any purpose, including on our website, social media, and in advertising and other marketing, without payment to you.
If you do not want your image (or your child’s image) used, let us know in writing by email to enquiries@acsamelbourne.com.au. From that point we will take reasonable steps not to publish new images of you, and to remove images from our own channels where practicable. For Kids and Teens, a parent or guardian can give or withdraw this consent on the child’s behalf.
10. How we protect your information
We take reasonable steps to protect your personal information from misuse, loss, and unauthorised access, including secure systems, access controls, and reputable service providers. No method of transmission or storage is completely secure, but we work to keep your information safe.
11. How long we keep it
We keep personal information only for as long as we need it for the purposes in this policy, or as required by law. When we no longer need it, we take reasonable steps to delete or de-identify it.
12. Accessing and correcting your information
You can ask us to access the personal information we hold about you, or correct it if it’s inaccurate or out of date. Contact enquiries@acsamelbourne.com.au and we’ll respond within a reasonable time. We may need to verify your identity first.
13. Complaints
If you have a concern about how we’ve handled your personal information, please contact us first at enquiries@acsamelbourne.com.au. If you’re not satisfied, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
14. Changes to this policy
We may update this policy from time to time. The current version will always be available on our website, with the effective date shown at the top.
